These Terms of Service ("Terms") govern your use of HairTransplantPlan.com ("the Service"), operated by Tropic Flare LLC ("we," "our," or "us"). By using the Service, you agree to these Terms. If you do not agree, do not use the Service.

1. What the Service Does

HairTransplantPlan provides an AI-powered hair transplant analysis tool for educational and informational purposes. The service offers two report tiers:

Free Basic Report — available to all users at no cost. When you upload two photos, our system uses artificial intelligence to:

— Classify your hair loss stage using the Norwood scale

— Estimate the number of grafts needed for restoration

— Recommend a hair transplant technique (FUE, DHI, or FUT)

— Generate 1 AI before/after preview image

— Provide an estimated cost range

— Match you with clinics in the countries you selected

— (With your consent) Share your hair loss data with matched clinics so they can contact you with quotes

Premium Report ($9.99 USD) — a paid upgrade that additionally provides:

— 3 AI preview images (conservative, recommended, and aggressive density)

— Per-clinic pricing with your exact graft count priced at each clinic, plus estimated travel and accommodation costs

— Zone-by-zone graft breakdown

— Clinic checklist and consultation questions

— A downloadable PDF report emailed to you

2. Not Medical Advice

Graft estimates, Norwood classifications, technique recommendations, and pricing are approximations generated by AI and may differ significantly from what a surgeon determines during an in-person evaluation. Actual hair transplant outcomes depend on individual factors including donor hair quality, scalp laxity, skin characteristics, health conditions, and surgeon skill — none of which can be fully assessed from photographs alone.

AI-generated preview images are artistic representations showing potential outcomes. They are not predictions or guarantees of surgical results. Actual results will vary.

You should always consult a qualified medical professional before making decisions about any surgical or medical procedure. We strongly recommend getting at least two in-person consultations before proceeding with a hair transplant.

3. How It Works (Technical Process)

Free Basic Report: When you upload two photos and submit the form, the following occurs immediately and at no charge:

— Your photos are sent to Anthropic's Claude AI for hair loss analysis, Norwood classification, and graft estimation.

— Your front-facing photo is sent to Replicate (running Flux Kontext by Black Forest Labs) to generate 1 AI before/after preview image.

— Results are displayed on-screen instantly. No payment is required.

— If you consented on the upload form, your hair loss data and contact details are shared with matched clinics in the countries you selected.

Premium Report ($9.99 USD): After payment, the following additional processing occurs:

— Three AI preview images are generated (conservative, recommended, aggressive density levels).

— Per-clinic pricing is calculated for your specific graft count, along with estimated travel costs.

— A comprehensive PDF report is compiled and emailed to you.

The quality and accuracy of results depend on the quality of the photos you upload. Poor lighting, obstructions (hats, glasses), extreme angles, or very low resolution photos may produce less accurate results.

4. Pricing and Payment

The Free Basic Report is available at no cost — no payment or credit card required. The Premium Report is priced at $9.99 USD per analysis. All payments are processed securely through Stripe. We accept major credit cards, debit cards, Apple Pay, and Google Pay (availability depends on your device and region).

Prices are subject to change. Any price changes will apply only to future purchases, not to analyses already purchased.

5. Refund Policy

Exception — Failed report delivery: If you complete payment but your analysis report fails to generate due to a technical error on our end (server failure, AI processing error, etc.), you are entitled to either a full refund or a re-run of your analysis at no additional cost. Contact us within 7 days of purchase with your email address and we will resolve the issue.

Refunds are NOT provided for:

— Dissatisfaction with the AI-generated graft estimates, preview images, or other analysis content. AI results are approximations and will differ from surgeon evaluations.

— Poor quality results caused by uploading photos that do not meet our guidelines (poor lighting, obstructions, blurry images, etc.).

— Deciding you no longer want or need the analysis after it has been generated.

— The analysis producing results different from what a surgeon later quotes. Our estimates are AI-generated approximations, not clinical assessments.

To request a refund for a failed report, email hello@tropicflare.com with the email address you used for the analysis.

6. Clinic Lead Sharing & Consent

When you submit your photos via the upload form, you must check a consent checkbox confirming that your hair loss analysis data (Norwood stage, graft count, recommended technique, and the countries you selected) and contact information (name and email) may be shared with matched clinics in the countries you specified, so those clinics can reach out with consultation offers and quotes.

Your photos are never shared with clinics. Only the analysis data and contact details described above are shared, and only when you have given explicit consent by checking the box on the upload form.

You may also manually send your report to a specific clinic using the button on your results page. This sends your data to that clinic only and constitutes your consent for that individual clinic to contact you.

By using the Service and consenting to clinic sharing, you acknowledge that clinics are independent third parties. We do not control their communications, services, or conduct. We are not responsible for any clinic's response, quality of service, or any agreement you enter into with a clinic.

7. Acceptable Use

You agree to use the Service only for its intended purpose — personal hair transplant planning and research. You agree not to:

— Upload photos of other people without their consent

— Upload photos of minors (under 18)

— Use automated tools, bots, or scripts to access the Service

— Attempt to reverse-engineer, scrape, or extract our AI prompts, pricing data, or clinic database

— Resell, redistribute, or commercially exploit the analysis reports or AI-generated images

— Use the Service to harass, defame, or harm others

— Circumvent rate limits, payment requirements, or other access controls

8. Intellectual Property

Your content: You retain ownership of the photos you upload. By uploading photos, you grant us a limited, temporary license to process them solely for the purpose of generating your analysis. This license terminates when your photos are deleted from our servers (within 6 months of analysis completion, or sooner upon request).

Our content: The AI-generated preview images, analysis reports, pricing data, clinic recommendations, and all other output generated by the Service are provided for your personal use. You may share your report with surgeons, clinics, family, or friends. You may not commercially resell or redistribute reports.

Website content: All website content, design, code, guides, and educational materials are owned by Tropic Flare LLC and protected by copyright. You may not reproduce or distribute them without permission.

9. AI-Generated Content Disclaimer

Our Service uses multiple AI systems (Anthropic Claude for analysis, Flux Kontext for image generation). AI systems can produce errors, inaccuracies, or unexpected outputs. Specifically:

— Graft estimates may be higher or lower than what a surgeon determines. They are based on photo analysis only and cannot account for donor density, scalp laxity, or hair characteristics that require physical examination.

— Preview images are AI-generated artistic representations. They may not perfectly preserve your exact appearance, hair texture, or skin tone in all cases. They are meant to help you visualize general possibilities, not predict exact surgical outcomes.

— Norwood classifications are AI estimates that may differ from a dermatologist's assessment.

— Pricing data is based on our research and clinic database but actual clinic pricing may vary. Prices change over time and by individual case.

— Clinic recommendations are based on our database and do not constitute an endorsement. We recommend independently researching any clinic before booking a procedure.

10. Limitation of Liability

To the maximum extent permitted by law, Tropic Flare LLC and its owners, employees, and contractors shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service, including but not limited to:

— Decisions made based on AI-generated analysis or recommendations

— Differences between our estimates and actual surgical outcomes

— Actions taken or not taken based on clinic recommendations or pricing data

— Any medical complications from procedures booked through clinics found via our Service

Our total liability for any claim arising from the Service is limited to the amount you paid for the specific analysis in question (i.e., $9.99 maximum).

11. Indemnification

You agree to indemnify and hold harmless Tropic Flare LLC from any claims, damages, or expenses (including reasonable legal fees) arising from your use of the Service, your violation of these Terms, or your violation of any third party's rights.

12. Third-Party Services and Links

Our Service relies on third-party providers (Stripe, Anthropic, Replicate, Google Analytics, DigitalOcean) and may link to third-party websites (clinics, resources, etc.). We are not responsible for the practices, content, or availability of third-party services. Your use of third-party services is governed by their respective terms and privacy policies.

Clinic listings and recommendations are informational only. We do not endorse, guarantee, or take responsibility for any clinic's services, qualifications, or outcomes.

13. Service Availability

We strive to keep the Service available but do not guarantee uninterrupted access. The Service may be temporarily unavailable due to maintenance, updates, server issues, or factors beyond our control. We are not liable for any losses caused by service unavailability.

14. Modifications to Terms

We may update these Terms at any time. Changes will be posted on this page with an updated date. Continued use of the Service after changes are posted constitutes acceptance of the new Terms. If you disagree with updated Terms, stop using the Service.

15. Governing Law

These Terms are governed by the laws of the State of Wyoming, United States, without regard to conflict of law principles. Any disputes arising from these Terms or the Service shall be resolved in the courts of Wyoming.

16. Severability

If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
